This is a part-time position (15-20 hrs/wk).

The Wilderness Society, a national non-profit organization whose mission is to protect wilderness and inspire Americans to care for our wild places, is seeking an Office Assistant to assist with the overall administrative operation of The Wilderness Society’s Pacific Northwest (PNW) Regional Office. In addition to general administrative duties and assisting the Office Administrator with assigned tasks, the Office Assistant will be responsible for preparing office expenses for payment, ordering office supplies and helping to ensure that the PNW office functions effectively and efficiently on a daily basis.

This person will be a key member of a dynamic, creative, and skilled team working to protect wilderness and wildlife in Washington and Oregon.

Duties and Responsibilities:
• Prepare payments of office expenses; prepare and review monthly expense reimbursement reports; maintain detailed and thorough financial records; submit invoices to Finance department for payment as needed. Other financial and budgeting tasks as assigned.
• Assist the Regional Director and program staff with coordination of meetings/travel as needed.
• Oversee maintenance of office equipment, to include monitoring phone system, copier/printer, fax and postage machines.
• Collaborate with other Regional administrative staff on various projects and tasks.
• Assist in a variety of computer-related tasks such as managing content on TWS’ intranet site, assisting Communications team with research & updating North Cascades website as needed, and troubleshooting technical issues in the office.
• Order and maintain all office and postage supplies.
• Ensure daily operations of office run efficiently, including assisting program staff with completion of time sheets, expense reports, and special assignments; organize and maintain filing system; assist in event planning and execution as needed; greet public; answer main phone line; distribute mail.
• Other duties as assigned by the Office Administrator and/or Regional Director.

Qualifications:
• The ideal candidate for this position has general office experience, some executive assistant experience, is highly motivated and well-organized and is an energetic self-starter who can work efficiently with attention to detail and with minimal supervision.
• Ability to work effectively and diplomatically under pressure with a wide variety of people is essential.
• Excellent verbal & written communication skills are required.
• Proven problem-solving abilities and effective time management are required.
• A friendly, positive attitude and a sense of humor are desired.
• Must be a team player, willing to respond quickly and flexibly to changing events and work assignments in a dynamic and challenging work environment.
• Proficiency with Microsoft Windows XP, Microsoft Office 2007 (MS Word, Access and Excel), e-mail (Outlook) and Internet are required.
• Must take initiative and have the willingness to perform a variety of assignments and ability to prioritize work.
• Familiarity with bookkeeping is desired.
• Familiarity with and/or interest in environmental issues is a plus.
