EMBARQ Executive Assistant

EMBARQ is seeking a highly motivated, self-driven, and flexible professional to full a newly created Executive Assistant position. This position is being created to enhance the effectiveness of the front office of EMBARQ by providing confidential administrative support for the EMBARQ director and COO.

The person hired for this position will also oversee the development of a strategic plan for external EMBARQ meetings and events, supervise our current annual Transforming Transportation event, and coordinate major internal meetings such as EMBARQ Network retreats and board meetings.

Confidential Administration:
• Manage calendars for the EMBARQ director and COO calendar to ensure the leadership of EMBARQ gets and stays in the “important but not urgent quadrant”.
• Help EMBARQ director follow-up emails and phone calls to ensure nothing falls through cracks; field and delegate calls and emails for follow-up by others, as appropriate.
• Plan international and domestic travel and prepare expense reports, timesheets
• Identify opportunities and actions to improve operational efficiency; engage with colleagues to prioritize and execute most promising
• Create useful contacts database for EMBARQ and its director, working in coordination with Innovation, Information and Development team. Manage contractors, interface with WRI, and EMBARQ staff until we get a contact system that is useful for EMBARQ director on a day-to-day basis and which the EMBARQ network can use.
Meeting and Event Management
• Oversee the development of a strategic plan for external EMBARQ events and supervise Transforming Transportation and other conferences
• Organize some internal EMBARQ events, especially the EMBARQ board meetings and EMBARQ Network retreats in a way as to ensure there is a systematic exchange of communication between director’s office and rest of the involved parties.
Development and Network
• Create a strategy approach to scheduling and agenda setting around director’s goals for enhancing external engagement
• Prepare pre-briefs and de-briefs and ensure appropriate follow-up to all engagements.

• Demonstrated track record working as a business personal assistant, special assistant, or executive assistant or in similar role where helping a senior manager or executive do his or her job better and making the boss’ job easier is paramount.
• Demonstrated track record and certificate of professional development in events management.
• Flexible individual who can work independently and has leadership skills to set priorities and solve problems
• Professional demeanor and superior people skills
• Superior organization skills and attention to detail
• Excellent writing style and good computer skills in windows and Mac environments
• Excellent English a must: Spanish, Portuguese, or Turkish a plus.
