Community Administrator

About Impact Hub Seattle
Impact Hub Seattle is a coworking space, events space, and launch pad for purpose-driven ventures that create more value than they capture. We believe in a better world through inspiring entrepreneurship, and through community, space and educational events, we accelerate entrepreneurs toward building the future we want to live in. We provide a remarkable space for productive work, a driven community that resides at the intersection of technology and social good, and a diverse selection of programming and mentorship to guide our members with the tools they need to establish their idea. Our community helps entrepreneurs and businesses consider the social and environmental impact of their business practices, while also pushing philanthropists and nonprofits to become self-sustaining through collaboration and more efficient business models.

Job Purpose
We want to ensure that every one of our 700+ members is supported by and engaged in the Impact Hub Seattle community. The Community Administrator will be instrumental in achieving this goal by managing our host program and key member services. There are two components to this position.

Duties and Responsibilities

1. Managing Host Program
We have a team of volunteer hosts that is the face of Impact Hub Seattle - they are responsible for greeting everyone as they enter the space, keeping the space clean and functional, answering questions, and taking potential and new members through Trial Days and First Day Kickoffs. In exchange for one seven-hour shift a week for four months, hosts receive a free, FT, six-month membership to our space (value of $345/month). You can learn more information about the host program here: http://impacthubseattle.com/hosts

The Community Administrator will be responsible for recruiting, interviewing, selecting, orienting, and managing hosts during each four-month cohort. While the recruiting and training of hosts at the beginning of each cohort is the most time-intensive aspect of this position, you also will be expected to manage the hosts throughout each cohort – monitor host schedules, check-in with hosts daily to make sure they are following checklists, making progress on their host projects, and feeling supported and valued as integral members of our community and team (because they are!).

Primary Tasks:
Collecting feedback from hosts and reviewing the host program/processes.
Recruiting host applicants. This includes contacting all of our major partners and creating social media content to promote the hosting opportunity.
Reviewing host applications. You'll be responsible for keeping track of applications and ensuring that each applicant is properly responded to.
Interviewing host applicants. You'll be responsible for scheduling, setting up, confirming interview times with potential hosts who fit application criteria, and conducting the interviews.
Helping to choose hosts. You'll bring rubric information to team and take lead on choosing the next cohort of hosts. You will contact all potential hosts who interviewed to let them know decision.
Leading host orientation. You will edit, organize, schedule, and lead two-hour host orientations for all hosts.
Training hosts. You will walk each new host through their daily checklists and responsibilities on their first shift.
Managing hosts. You will check-in with each host every day throughout the hosting cohort, to make sure they feel supported and to give them feedback about how they are doing. You will also support hosts as they work to complete larger projects during their cohort.

2. Managing Member Services
The Community Administrator also will be responsible for managing aspects of several key member services, including mail, conference rooms, and shared office and kitchen supplies.

Primary Tasks:
Managing mail service. This includes daily distribution of mail, updating member records, and maintaining mailboxes and keys.
Managing inventory of office, kitchen, and general space supplies. This includes keeping inventory organized, working with hosts and the core team so that supplies are easily found, placing supply orders, and managing vendor relations.
Assisting core team with weekly member lunch and other occasional programming.
Monitoring conference room reservations.
Providing additional administrative support where needed.

The Community Administrator will report directly to one of the Co-Founders of Impact Hub Seattle and the Director of Operations.

Minimum Qualifications
This would be a perfect entry-level position for someone who is incredibly detail-oriented, organized, and excellent at time management. We are seeking an individual who is adaptive, calm, self-motivated, and extremely reliable. Experience managing volunteers and working in a direct customer service role is ideal. We also hope to find someone with a strong interest in community building and/or social entrepreneurship.

Time Commitment/Breakdown
Host Management: 15-20 hours/week during host cohort; 25+ hours/week during host recruitment, interviews and on-boarding.
Managing member services: 15-20 hours/week.
Team Meetings: 2 hours/week.

Availability: This is a full-time role - you must be available M-F, 8am-5pm

As a startup, our compensation is commensurate with our growth stage. This position is a FT salaried position with limited benefits (ORCA pass for unlimited public transit, FT Impact Hub membership privileges, including some meals, various & interesting events/workshops, incredible network, etc) and lots of opportunity (flexible hours, potential of profit sharing, incredible network of persons/orgs). First year salary will be roughly $30K/year with bonus opportunities based on performance.
