Position Summary
Washington Trails Association is looking for an Bookkeeper who can take ownership of their role in supporting WTA’s mission to preserve, enhance and promote hiking opportunities in Washington. The Bookkeeper is responsible for Accounts Payable, Accounts Receivable, payroll, recording deposits, and managing some employee benefits. The position is key to the smooth operation of the office.
The ideal candidate will contribute to the overall success of WTA by welcoming all requests for help; clearly communicating expectations; keeping track of approaching deadlines; and suggesting improvements to systems and processes. This is a part-time (under 30 hours a week), non-exempt position that reports to the Director of Finance and Operations.

WTA is the largest statewide hiking organization in the country, serving a deeply-engaged community of 3 million people through our website, social channels and member magazine. Membership is close to 13,000 and over 3,000 volunteers support the trail program. Contributions from individuals account for approximately half of the $3.2 million annual budget. Our advocacy, youth and outreach programs engage and empower hikers and educators of all interest levels and ages.

Duties and Responsibilities

Accounts Payable/Receivable (70%)
• Review all accounts payable invoices for appropriate documentation and approval.
• Enter bills and pay approved expenses by check and ACH.
• Enter and reconcile staff credit card charges. Ensure supervisor approval on credit card statements.
• Support invoicing for magazine ads, corporate sponsorships, and trail maintenance contracts.
• Track aging and receive payments for all receivables.
• Enter all deposits into QuickBooks. Download batch reports from Salesforce.
• Make journal entries as directed, including monthly entries for prepaid expenses, allocated expenses and memorized transactions.
• Maintain paper and electronic files.
• Assist in preparing annual 1099 forms for vendors.

Payroll (20%)
• Produce semi-monthly payroll for 30-45 employees.
• Track payroll-related benefits.
• Remit IRA contribution funds.

Reporting and Other (10%)
• Produce monthly budget reports for program managers.
• Prepare monthly B&O tax reports, and quarterly city tax reports.
• Coordinate with other staff to prepare bi-monthly Scorecard for Board meetings.
• Maintain clear and accurate records for oversight and audit.
• Respond to inquiries and requests for information from internal and external sources.
• Reconcile QuickBooks with Salesforce at month end.
• Remit reconciled endowment donations monthly to Seattle Foundation.
• Participate in work planning, peer evaluations, staff training and retreats.
• Maintain a thorough knowledge of WTA policies and procedures.

Desired Skills, Experience, and Attributes:
• Associate’s degree or equivalent combination of education and experience.
• At least two years of accounting experience with demonstrated ability to follow established procedures. Nonprofit experience preferred.
• Demonstrated ability to communicate effectively with people of diverse races, ages, genders, abilities and economic backgrounds. Prior cultural competency training is a plus.
• Strong organizational skills, including attention to detail, and ability to create efficiencies in procedures.
• Strong computer skills, including proficiency with Microsoft Office, QuickBooks, Salesforce, and payroll processing system. Comfortable with online banking and other online accounts.
• Has a "what else can I do" mindset. Enthusiastic about embracing new challenges.
• Ability to adapt to changes in the work environment, manage competing demands and react calmly to frequent change, delays or unexpected events.
• Ability to work independently (plan, prioritize and organize workload).
• High ethical standards and ability to maintain confidential information.
• A strong commitment to WTA’s goals and mission.

Compensation: Compensation range for this position is $17 - $21 per hour. Depending on scheduled hours, benefits may include dental and long-term disability insurance; retirement plan; transit pass; and holiday, vacation and sick leave (pro-rated based on schedule).

Environment – Office environment; frequent interruptions. Shared office.
Physical Abilities – Keyboarding to enter data into a computer terminal for extended periods of time; Dexterity of hands and fingers to operate a computer keyboard; Kneeling or crouching, reaching overhead, above shoulders and horizontally and bending at the waist to store and retrieve files; Hearing and speaking to exchange information; Seeing to read various materials; Lifting light objects; Extended sitting or standing at a desk.
